The U.S. Embassy, London has an exciting opportunity to join the Community Liaison Office (CLO) as the CLO Administrative Assistant. You will be expected to provide administrative support and assistance to the CLO Coordinators in all areas of CLO responsibilities such as, Welcome and Orientation, Events Planning, Information and Resource Management, Community Liaison, and Guidance and Referral. Exceptional organization and interpersonal skills are a must in this role, as well as, excellent customer care, sensitivity and discretion when dealing with your clients – diplomatic staff and their families, and Mission employees as a whole.

Duties will include: updating and maintaining the sponsorship database; sending welcome emails to sponsors; organizing welcome coffees and disseminating orientation information; completing check-in and check-out sheets; developing spreadsheets and advertising Embassy events; tallying RSVPs; submitting VARs and eService requests; ordering supplies; updating and maintaining information on the CLO SharePoint site and the Embassy’s internet welcome website; creating PowerPoint slides for Embassy events and tours; ensuring all Embassy calendars are up to date; maintaining the CLO office’s DVD and book libraries; greeting and assisiting visitors; providing confidential support to individuals within the community in the absence of the CLO Coordinators; referring employees to information within the Embassy and on the local economy.

QUALIFICATIONS REQUIRED

EDUCATION:
4 GCSEs, U.S. High School Diploma or an equivalent academic qualification is required.

EXPERIENCE:
Administrative work experience in an area involving customer or client service is required.

LANGUAGE:
Must be fluent in English.

JOB KNOWLEDGE:
Familiarity with the needs of Embassy communities, including the issues and challenges related to international mobility is required.

SKILLS AND ABILITIES:
Strong organizational, interpersonal and communication skills are required. Must exhibit a high-level of trustworthiness and discretion. Ability to operate a computer using Microsoft Office (especially Excel and PowerPoint) and the internet is required. Ability to provide quality customer service is required.
